How to Maintain GST Invoices for Retail Businesses

1. Mandatory Fields on a Legal GST Tax Invoice

Under GST Rule 46 of the CGST Rules, every tax invoice issued by a registered taxpayer must clearly present:

  • Supplier name, registered physical address, and 15-digit GSTIN.
  • Consecutive serial number unique for a financial year.
  • Date of issue and place of supply (with State Code).
  • Recipient name, address, and GSTIN (for B2B registered buyers).
  • HSN code of goods or SAC code of services.
  • Description of goods/services, quantity, unit, taxable value, and tax rate breakdown (CGST, SGST, IGST).

2. Statutory Invoice Numbering Rules (Max 16 Characters)

GST guidelines dictate that invoice numbers must contain only alphanumeric characters and special characters like hyphens (-) and slashes (/), with a maximum length of 16 characters. 4. Retention Period: How Long Must Retailers Keep Invoices?
